4. RECORDING OF DATA ON OUR WEBSITE

COOKIES

SERVER LOG FILES

This data is not combined with data from other sources.

CONTACT FORM

If you send us inquiries using our contact form, we will save your information from the inquiry form, including the contact details you state therein, in order to process your inquiry and for any follow-up questions. We will not pass on this data without your consent.

As a result, the data entered in the contact form will be processed exclusively on the basis of your consent (Art. 6(1)(a) GDPR). You can revoke this consent at any time. To do so, simply e-mail us accordingly with your request. No formal requirements apply in terms of how to formulate this e-mail. The legality of the data processing transactions performed up until the point you revoke your consent remains unaffected by the revocation.

We will retain the data you entered in the contact form until you request us to erase it, until you revoke your consent to the storage of the data, or until the purpose for storing the data ceases to apply (e.g. once your inquiry has been fully processed). Mandatory legal provisions – in particular retention periods – remain unaffected by this.

DATA Processing (CUSTOMER DATA AND CONTRACT DATA)

We collect, process, and use personal data only to the extent necessary for establishing, substantiating, or modifying the legal relationship (existing data on existing customers). This is based on Art. 6(1)(b) GDPR, which permits data to be processed for the purpose of fulfilling a contract or pre-contractual measures. We collect, process, and use personal data regarding the use of our website (usage data) only where this is necessary to enable the user to use the service or to bill them for their use of the service.

The collected customer data is erased once the order is complete or the business relationship has come to an end. Legal retention periods remain unaffected by this.

Data processing (Newsletter)

As soon as you register for our newsletter, we will use your email address to send you the requested information on a regular basis. The legal basis is your consent in accordance with Art. 6 para. 1 p. 1 lit. a DSGVO.

To ensure your proper registration for the newsletter, we will send you a confirmation e-mail after your initial registration in the DoubleOpt-In procedure, in which we ask for confirmation of the registration. This is to prevent unauthorised registration on behalf of third parties.

In connection with your registration for the newsletter, we also store your registration data (e.g. e-mail address, date and time of registration/confirmation of opt-in) so that we can trace and prove the registration at a later date.
The legal basis for this storage is a legitimate interest, Art. 6 para. 1 p. 1 lit f, Art. 7 para. 1 DSGVO. The legitimate interest is based on the obligation to prove consent.

Your email address will be stored for the newsletter mailing until you unsubscribe from the newsletter or until we stop sending the newsletter to you.

You can revoke your consent to receive newsletters from KIX Service Software GmbH in the future at any time. To do so, use the unsubscribe link at the end of each newsletter. Alternatively, you can send your request to unsubscribe from the KIX newsletter to news@kixdesk.com.



5. ANALYSIS TOOLS AND MARKETING

Use of web tracking

Our website uses Google Analytics, a web analysis service from Google Inc. ("Google"). Google Analytics uses what are known as "cookies": text files that are stored on your computer to analyze your use of the website. The information generated by the cookie concerning your use of this website is generally transferred to a Google server in the USA and stored there. However, if IP anonymization has been activated on this website, Google will truncate your IP address beforehand within Member States of the European Union or in other States party to the Agreement on the European Economic Area.
