Your tasks

  • Location Management: You will be the main contact for external service providers, such as property managers, caterers, and cleaning companies. You will also organize meetings and team events.
  • Procurement and travel management: You will handle procurement and orders, as well as organize business trips and travel expense accounting.
  • Contract Management: You will manage and organize documents, files, and records, and maintain our contract database.
  • Fleet Management: You will organize new car orders, workshop appointments, and fuel receipt settlements.
  • Mail management: You will monitor the mailbox and central email inbox.
  • Switchboard: You will coordinate calls from business partners and ensure smooth communication.
  • Accounting: You will be responsible for verifying and posting invoices and receipts.

What to bring

  • Experience: You have successfully completed commercial training and have several years of experience in office management, as well as practical experience with account assignments and receipt checks.
  • Care and accuracy: You perform your tasks with the utmost diligence, combining a hands-on mentality with great attention to detail.
  • Organizational skills: You enjoy keeping track of things and have a talent for organizing tasks and projects, setting and meeting deadlines.
  • Strong communication skills: You are friendly and express yourself well in German and occasionally in English.
  • Initiative: You enjoy getting involved, thinking proactively, and finding pragmatic solutions.
  • Tools: You are very familiar with common tools, such as MS Office, and open to new ones. Ideally, you have knowledge of tax and travel expense laws, as well as experience working with a merchandise management system.
